How can we help?

Help articles

  • There are four ways you can ask candidates to apply directly.

    1. You can invite candidates from your Candidate pool.  Remember these are candidates who have expressed an interest in working with you, it's a good starting point!

Just search your pool, pick the candidates you are interested in and click 'Invite to Job'

    2. You can invite them via the JobFairy candidate bank. As they have not already joined your Candidate pool, expect a lower response rate.

    3. You can share the job link direct to a candidates email ( assuming you have consent) asking them to apply

    4. You can share the job link via your social media

  • If you want to invite other staff members to your account you can do so on the Settings page. This will allow other staff members to be involved in your recruitment process.  For example they will also be able to view Candidate One way video interviews and comment as to the suitability of the candidate. It's always best to note discussions like this inside your account so that the candidates data will be secure.

You can invite a staff member and decide to give them full admin access or view access. You can withdraw this invitation or amend their access at any stage.

Invite a staff member on this page.

  • You can add multiple venues for your company in the settings page. You can give your venue a name, and importantly an exact location.

How when you post a job, you will be prompted to pick the venue.  We then use this exact location for our distance calculations as well as putting your Job on our map!

In your company profile, if you have multiple venues add your principal venue as your address.  We will use this address to send your JobFairy stickers to.
In your job posting now you can select the venue. If you have one venue this option does not appear.

  • Do you need to repost an expired job, or do you need to recruit for the same job again?  We know that it takes time to produce job specifications so rather than having to reproduce this effort, you can duplicate a previous job and then edit this as yo wish before posting.

Just open up a job you have already posted, click on the Actions button and select Duplicate Job.

  • What makes a great job description, what should you put in it?

It is important to take time completing this section, we find that the better the job description is, the better matched the candidate who applies for the role is.  Great job descriptions leads to great candidates.  Simplicity and clarity is important, avoid jargon and use inviting language. Convey the culture of your company, candidates need to know if you will be a good fit for them and that they will enjoy working for you. Avoid gender in your language, neutral wording is best, you don't want to exclude half your potential candidate pool.

In our Job description form we give you a structure you should consider following, but ultimately you have control to enter what you would like. It's also a good idea to to ask your current employees to read through the description, this can help fine tune what you have.

Finally take some time to get the formatting right, use bullet points when needed, Bold text the important parts etc.

We recommend that each Job description should have

    Job Summary

Give a short engaging summary about the job. Highlight who you are looking for and why the job is important.  Use warm inviting language that represents your brand, e.g. "We are looking for ..", "Come join our dedicated team ..".  Consider also adding a paragraph about your company; your values your culture - be authentic.

    Responsibilities

Let the candidate know what they will be doing. Use simple sentences. Bullet points can help. Try and ensure that you include the top 5 things that will be expected of candidates in the role.

    Requirements

Again more simple language here, bullet points help. Be honest as to what you are looking for be it qualifications or past experience. Think about the requirements needed as either 'Must have' or 'Nice to have' headings.

    Benefits

Mention the perks and benefits of working with your company. These might include; on the job training, tips, overtime pay, health insurance, pension contributions, life insurance, commuter tickets, working from home, mentorship, etc.

You may also wish to include other details such as :

Time; What time frame you need candidates to work; are they needed at weekends, are they needed for flexible shifts etc.

Location; Do you have a number of sites, are they expected to work in different locations, can their work be done remotely?

Working conditions; Are there any physical requirements for the role, what is the dress code, etc.

  • When you sign up to JobFairy we will send you out our Hiring Kit envelope to get you started.

This will include a set of stickers which you can drop your included QR code stickers into. You will get a mix of stickers suitable for Inside and Outside use.  They are UV resistant so they should last.

The QR code links to your JobFairy career site. The QR code is unique to your business.

It's up to you where to place your stickers but for business with Physical storefronts and passing traffic we tend to see them in shop windows, at point of sale, or even on company Vans!
Put your QR code inside the square!

  • When a candidate joins your pool they are letting you know that they are interested in working with you. You can see all their profile bar their phone number which will be suppressed until they apply.

You can view their profile and invite them to apply for a role. You can use the filters to search and sort for what you are looking for. If your pool gets too full you can move some candidates from suitable to unsuitable. Someone who is unsuitable now may become suitable in the future so keep an eye on this tab.

When you post a new job, they will automatically receive an alert of this by email.

Access your candidate pool via the Candidates tab.

  • As candidates begin to appear in your Candidate pool, you may wish to sort them.

The first level that you can categorise candidates at is as suitable or unsuitable. Remember someone who is unsuitable now could easily become suitable in the future as their profile changes. Never forget about this category! Candidate profiles are live so any change they make to their profile is immediately picked up in your account.

You can sort your candidates too, as well as searching by keywords such as Job Title or Name.

  • Ready to open an Employer account?

Click SignUp in the top right corner of our home page.
Enter your details or Signup via your Google account.  Use your own name at this point, not your business name. If you have a business email address, use this.

This will then bring you to our Candidate Onboarding page. Click 'Create an Employer Account' and follow the steps from there.

Note: Our employer dashboards are designed for laptops or desktops at the moment, so save yourself some time and avoid a mobile for account set up.

Note - technically its possible for an Employer to also be a candidate (Double Jobbing for example), hence the reason why you can  also create a candidate profile.

  • If you have your content ready you can create your profile in two minutes.  Our employer onboarding is designed for Laptop or Desktop use, so save yourself some time and avoid using a mobile for signup.

    What content do you need?

Your profile is designed to allow you the opportunity to best present your company and your brand.  So if you already have some images and content from a website, a facebook or instagram page then a lot of this work is done for you.

    1. A LOGO

We use your logo to help promote jobs, it is worth the effort of uploading it.  Just like instagram we have a circular space to upload your logo into.  So if you have a logo on instagram, use this.

We use your logo to place your jobs on the map, in the social media friendly links we create for you, your job listing and on your careers page. So it's really worth uploading it!

    2. IMAGES

You have a profile gallery where you can upload images.  It might be your product, your staff, your premises etc.  It's a great way of conveying your brand and sharing to the candidate what a great working environment and company they will be joining.

    A BANNER IMAGE
Pick an image in landscape mode which you would like to act as your background image. It takes a bit of trial and error, but its worth the effort.

    3. VIDEOS

A video is the most effective way to show the candidate what a great company you are, what your culture is, the benefits of working with you, an introduction to your team and so on.  Videos are especially good at attracting passive candidates and attracting the right candidates.

You can record the video directly within the platform OR upload a video you have recorded already (like maybe one on your phone) OR connect in a youtube link.

Take the time to do a VIDEO, and see what results you get.

The good news - you can build up a small library of videos so that you can use which video you would like.  Record a video for your job listing too - candidates will stay on your job listing longer and you will attract better candidates for the role.

    4. TEXT CONTENT

In your About US section, you get a chance to tell the candidate a little about your company.  Things to include could be

    • Your history
    • Your values and culture
    • Your staff
    • Benefits to working with you
  • You can easily add a short video to your job post.

    • It's a chance to build rapport with your candidates
    • It's an opportunity to explain the next steps in the process
    • You can easily communicate your brand
    • You can talk more about the role, introduce co-workers
We find that Job Posts with videos get an increased response rate and more relevant candidates.

If using a mobile device for video, we recommend shooting in Landscape mode.

  • Here are a few ideas on how to freely promote your job posting using assets available to you.

We have built some great links that are optimised for every platform that you want to share on and include some excellent images and graphics relevant to your company and the role itself. You can find these links at the bottom of every job posting. Candidates can share these links to.

    JobFairy Stickers and Posters

Our stickers and posters are designed to easily flag to passing candidates that you are looking for new staff, if not now then in the future. You have the QR code for your JobFairy careers page under your settings, so you can use that too - get creative!

These stickers and posters allow candidates local to you know that you are looking for staff as well as giving them an easy way to apply.

    Ask your team.

As your probably know employee referrals are the top source of hires.  You can easily share the job link to them via email or social media. Ask them to like your posts, share them or point their friends to your career page.

Studies show that employee referrals improve the quality of hire and retention rates but referrals are frequently not used. You might also wish to offer staff a bonus for any hires they bring in.

The good news is that an Employee referral system is in our product road map.

    Your own social media

We have designed every job link to work effectively on the different social media platforms. The images dynamically resize to whatever platform they are on. Feel free to promote your posts through your own platform also!

    Ask your customers

For some businesses, quite often their customers love their brand so much they end up working for them. If you produce a physical product, consider adding a leaflet to the packaging advertising your hiring.  Maybe even your QR code printed on the item, like your coffee cups, pizza boxes and so on.

    Your candidate pool

Keep an eye out on your candidate pool. While you can invite candidates to apply when you are posting a job, sometimes the perfect candidate can appear before then so it can encourage you to move quicker!  Candidates are more likely to engage with you the quicker you follow up with them. Moving quickly can help you secure the perfect hire!

    Email footers and newsletters

Add the URL for your Jobfairy careers page as a footnote to your emails. Or if you have any newsletters, share the URL of your JobFairy career page.
